Universcience
Universcience, which includes the Palais de la Découverte and the Cité des Sciences et de l’industrie, promotes awareness and appreciation of the sciences and scientific and technical culture. It is a public industrial and commercial establishment (EPIC), under the Ministry of Higher Education, Research and Inssn that Universcience is be in constant reflection and adaptation to contemporary developments.
The digital transformation project
Universcience needed to go paperless. It had more than 300 forms scattered over various functions such as HR and purchasing. The project was initiated at the end of 2015 by general management, which played an important role by taking the business lines into account.
The choice for Bonita
Bonita was chosen for two main reasons:
- The ease of setting up processes
- The ability to follow up on all actions long with traceability
The project
The first part of the project was to analyze and map the processes in place.
Then a "proof of concept" was done to validate the approach and demonstrate the value provided through traceability and compliance with procedures.
Bonita version 7 and in particular "Living Applications" made it possible to meet all the constraints.
The development of a user-friendly portal took only 2 months. 4 paperless requests were delivered in a first version. These requests concern various departments, in particular HR and security.
Other workflows have been developed since.
Project goals and results
Objectives:
- The IT department has the objective of launching 10 paperless processes per year.
Results:
- 20 processes in production
- Between 10,000 and 20,000 instances/year
- More than 1,000 active processes/day

Employees have understood the added value of switching to paperless processes, with concrete results such as the replacement of the physical initialing service for order validation.
